Scope of Staffing Services

1.Sourcing & Screening Process

Courtpals, LLC will undertake the following steps for sourcing and screening potential candidates for the Entry-level Virtual Case Coordinator position:

Job Posting

Create and distribute job postings on relevant job boards, professional networks, and social media platforms to attract qualified candidates.

Resume Screening

Review and shortlist resumes to identify candidates who meet the required qualifications and experience for the role.

Initial Interview

Conduct a brief initial phone interview to complete a preliminary screening of candidates.

Interview Coordination

Coordinate initial interviews between the candidates and the Client to evaluate candidates' communication skills, professional experience, and suitability for the role.

Skills Assessment

Administer assessments or tests, as needed, to evaluate candidates' proficiency in key skills such as communication, document management, and client interaction.

Reference Check

Perform due diligence, including verification of employment history, educational credentials, and any other relevant reference checks compliant with the employee's local labor laws.

2.Selection Process

  • Present a shortlist of qualified candidates to the Client for review.
  • Coordinate final interviews between the Client and selected candidates.
  • Assist the Client in the evaluation and selection of the final candidate, including providing recommendations and feedback from the initial screening process.

3.Onboarding Assistance

Once a candidate is selected, Courtpals, LLC will assist with the onboarding process, including:

  • Preparing the necessary documentation and employment agreements in compliance with the selected candidate's federal labor law.
  • Coordinating initial training and orientation sessions with the Client.
  • Providing access to HR tools necessary to begin the relationship with Courtpals, LLC.

4.Staffing Terms

  • All candidates presented to the Client will be sourced in accordance with the qualifications and experience requirements outlined in Exhibit B attached to and incorporated into every Client Agreement by reference.
  • Courtpals, LLC will ensure that all selected candidates comply with the local employment regulations applicable to the role.

5.Non-Discrimination and Diversity Policy

In accordance with applicable labor and equal-opportunity laws, no hiring, promotion, or termination decision shall ever be based on — nor shall any inquiry be made into — an individual's religion, faith, spiritual belief, sexual orientation, gender identity or expression, marital status, parental or maternity status, age, nationality, race, ethnicity, disability, or any other characteristic protected under law.

10.Refunds and Service Cancellation Policy

All recruitment and staffing services provided by Courtpals, LLC are subject to a partial refund policy, as professional work begins immediately upon execution of the service agreement. Our team invests significant time and resources into sourcing, vetting, interviewing, and coordinating candidates — activities that constitute billable work, even if the hiring process is not completed.

If a client chooses to cancel the service prior to the employee's official onboarding, Courtpals, LLC may issue a partial refund based on the proportion of work completed up to the date of cancellation. This includes, but is not limited to, candidate sourcing, screening, interviews, communications, and administrative labor.

Under no circumstances shall full refunds be granted once candidate work or placement efforts have commenced. Any refunds issued are made at the sole discretion of Courtpals, LLC, after review of the progress and costs incurred in the client's request.

Once a candidate has been formally offered or has signed an employment agreement — whether under Employer of Record or direct staffing — no fee refunds shall apply, as services have been rendered in full.

Courtpals reserves the right to update or modify these terms and conditions at any time. Clients will be notified of any significant changes via email or through updates on our website.
